    The Somers Central School District is seeking proposals for an Assistant Athletic Trainer for the 2019-2020 school year through the 2021-2022 school year, a three-year term.

    The Somers Central School District is located in northern Westchester County, approximately 50 miles north of New York City.  The District is comprised of four school buildings, serving approximately 2,950 students.  Somers High School has a student enrollment of approximately 1,090 students in grades 9-12.

    The Interscholastic Athletic Program is headed by the Director of Athletics and is comprised of the following sports:

    Baseball                      Golf                          Swimming 

    Basketball                   Gymnastics               Tennis       

    Cheerleading               Ice Hockey                Track         

    Cross Country              Lacrosse                  Volleyball   

    Field Hockey               Soccer                      Wrestling  

    Football                        Softball                                        

    Students, both boys and girls, may participate in various sports programs at the modified, junior varsity or varsity level.  Many of the varsity programs begin their practices after school at approximately 2:30 p.m.  Modified and junior varsity programs may start practices later due to Middle School dismissal times and lack of facilities for all sports teams to practice simultaneously.  Football practice usually begins two weeks prior to the start of school in September.  Other fall sports usually begin one week prior to the start of school.  Athletic contests may be held on nights and weekends.  The Head Athletic Trainer, in conjunction with the Director of Athletics, will decide which contest(s) the Assistant Athletic Trainer will cover.

    Attached as Appendix A is a sample contract for athletic trainer services that the vendor would be expected to sign.  This contract highlights services to be provided, insurance requirements, representations required and other matters related to the services to be provided.  Any vendor submitting a proposal should familiarize themselves with the contents of this contract.  Submission of a proposal will indicate that the vendor is able to perform athletic training services in compliance with the terms and provisions of the sample contract that is attached hereto as Appendix A.

    The proposal should clearly state the hourly cost for services.  If there are any exclusions, please specifically identify them. The District has a budgetary figure of $55,000 for all athletic training services be it the Assistant or Head Athletic Trainer.  Please know that school districts are under a tax levy cap which is CPI or 2%, whichever is less.  It would be expected that subsequent years’ increases would not exceed this 2% cap figure.

    Proposals should detail all relevant athletic training work and educational experience of the vendor.  Proposals will be evaluated by a committee of the School District that will include the Director of Athletics, the Business Official and other staff members.  During the evaluation process, the School District may request additional information or clarification from those submitting proposals.  It is anticipated that the selection of the vendor will be completed by mid-June.

    This Request for Proposals (“RFP”) does not commit the School District to award a contract, pay any cost incurred in the preparation of a proposal in response to this RFP, or to procure or contract for services. The School District intends to award on the basis of the best interest and advantage to the School District, and reserves the right to accept or reject any or all proposals received as a result of this RFP in part or in its entirety, to negotiate with all qualified proposers, or to cancel this RFP in part or in its entirety, if it is in the best interest of the School District to do so.  The School District may select as the proposal which, in the School District’s sole discretion and with whatever modifications the School District and the proposer may mutually agree upon, best meets the School District’s requirements whether or not that proposal has the lowest prices.  No proposer shall have any legal, equitable or contractual rights of any kind arising out of its submission of a proposal except as and to the extent that the School District, in its sole discretion, shall enter into a contract with the proposer that is selected as the successful vendor.

    All proposals must be received by 2:00 p.m. on Tuesday, May 28, 2019.  Any proposal received after this deadline will be returned unopened to the vendor.  Each vendor is to submit one original and two copies of the proposal.  All proposals must include fully completed Forms #1, #2 and #3.

    The Board of Education reserves the right to waive any formalities in or to reject or accept any or all of the bids. No bidder may withdraw his bid within forty-five (45) days after the actual date of the opening thereof.
